To arrange a successful party we recommend that our clients, define the purpose, budget, and a guest list for this party. This should be done at least 2 to 6 weeks in advance to plan and coordinate food, drinks, and entertainment.


1. Planning Timeline

  • 2-6 Weeks Out: Finalise the guest list, send invitations, and establish your budget.

  • 1-2 Weeks Out: Decide food/drinks, book any necessary entertainment (e.g., DJ, caterers, enteretainers), and start organising decorations.

  • 1-3 Days Out: Prep the space, verify dietary restrictions, and create a detailed day-of schedule.

  • Day-Of: Set the vibe with lighting and music, ensuring the host can mingle rather than managing in party clothes.

  • Theme & Atmosphere: Decide on a mood, decor, and dress code.

  • Logistics & Coordination: We map out detailed minute-by-minute event agendas, coordinate arrival flows, and put contingency plans in place for unexpected changes. 

  • Execution: On the day of the event, the organiser oversees setup, manages staff and vendors, handles guest check-ins, and resolves any last-minute emergencies. 

  • Wrap-up: After the party, they oversee the teardown/cleanup process, handle vendor invoices, and gather client feedback

At SailBreeze, booking a pool villa for a party in Pattaya requires choosing a venue that allows large groups and has the right amenities like KTV (karaoke) and BBQ grills. Prices generally range from 20,000 THB to over 60,000 THB per night depending on group size and the day of the week. 


Important Points to Note:


  • Not all villas allow loud groups or late-night noise. Use dedicated platforms to find specific "party villas" that cater to gatherings:

  • Most villas set a standard base rate for up to 10–14 guests. If your party exceeds this, expect to pay a supplementary fee—usually ranging from  1,000–1,500 THB per additional person per night.


When reviewing the listing, we confirm the inclusion of:

  • Sound Systems: Karaoke machines or Bluetooth speakers.

  • BBQ Grills: What is provided - Chacoal or gas.

  • Noise Curfews: Pattaya has strict noise ordinances; confirm with the host if you are allowed to play loud music past 10:00 PM.

Payment Terms:

Our standard party organiser (event planner) payment terms typically require a 25% to 50% non-refundable retainer to secure the date, followed by milestone instalments, with the final balance due 14 to 30 days prior to the event.


Understanding the structural standards for event planner payments ensures smooth cash flow and prevents financial disputes:


  • The Retainer / Deposit: An upfront, non-refundable fee (usually 25% - 50% of the total estimated cost) is required to formally book your calendar. Work on the event generally does not begin until this is paid.

  • Milestone Payments: For large-scale or multi-month projects, the remaining balance is divided into installment payments tied to specific dates or planning phases. 

  • Final Balance Due Date: The complete balance is typically required to be paid in full 14 to 30 days before the scheduled event date. 

  • Vendor & Third-Party Payments:  We will clarify whether we will pay suppliers directly on the client's behalf, or if the client will pay vendors directly as they are booked.

  • Cancellation Policy: Contracts should feature a tiered penalty scale. If the client cancels, the initial retainer is typically forfeited, and graduated percentages apply depending on how close the cancellation is to the event date.
